Invoice Aging Reports
See Where Your Money Is
The invoice aging report is your single best tool for understanding your shop's cash flow. It shows every unpaid invoice grouped by how long it's been outstanding, so you can spot problems before they become losses.
Accessing the Report
Go to Reports > Invoices (or Invoices > Aging from the main Invoices tab). The report shows unpaid invoices organized into aging buckets:
- Current — invoices sent today. No action needed yet.
- 1-7 days — recently sent. Most customers pay within this window.
- 8-14 days — getting stale. If automated reminders are on, the customer has received at least one reminder.
- 15-30 days — concerning. Follow up personally if reminders haven't worked.
- 30+ days — overdue. These need immediate attention or a decision to write off.
What You See
For each aging bucket, the report shows:
- Number of invoices in that bucket
- Total dollar amount outstanding
- A list of individual invoices with customer name, invoice number, amount, and date sent
At the top is your total outstanding balance across all buckets — this is the total amount of money customers owe you right now.
Taking Action
Tap any invoice in the aging report to see its full details. From there you can:
- Resend the invoice email/SMS with the payment link.
- Record a payment if the customer paid cash or check.
- Void the invoice if it was sent in error or you've agreed to waive the charge.
- View payment history — see when reminders were sent and if the customer opened the email.
Exporting
Need to share this with your accountant or bookkeeper? Tap the Export button to download the aging report as a CSV file. It includes all invoice details, dates, amounts, and statuses.
